MailboxThe Mailbox Properties dialog is used to configure mailboxes in Mailtraq and can be accessed by choosing Properties from the context menu of any mailslot in the console. The term mailslot and mailbox is used interchangeably throughout Mailtraq. Mailboxes are normally created in the Console when you create a User. You may also create additional mailboxes for existing Users by selecting the user and select New | Mailbox Primary mailboxes Mailboxes appear in the console as or to indicate a Primary mailbox.
Each Primary mailbox can have mail collected from it by an email client, and counts as a User mailbox for licensing purposes. Secondary mailboxes Mailboxes also appear in the console as or to indicate a Secondary mailbox. These maiboxes are used for sorting and filtering mail. There may be an unlimited number of Secondary mailboxes. They do not count against the license, but email clients cannot collect directly from them. Mailtraq mailboxes provide a temporary mail store from which mail can be collected. Mail collected from mailboxes using the POP3 protocol (defined in RFC1939) can be retained in the mailbox or deleted at the user's discretion. Mailtraq can also store mail in a specified folder in KA9Q format which is used by a number of older mail clients. Once mail has been gatewayed to disk in this way, it can no longer be accessed or controlled by Mailtraq. Tip: It is important that the Administrator considers the Archiving rules for mailboxes in the system: if all mailboxes are set to retain all mesages without expiry, very large message stores can be created. Follow the links on the right for more detailed information about Mailbox Properties Reducing the Database size Users are often surprised that when they delete a large amount of messages from Mailtraq they don't see a matching reduction in the size of the mailbox.afx file. As messages are stored in the database the size of the database grows, but when the messages are removed the structure remains. Why is this ? It may be helpful to think of the database as a honeycomb - as more honey is stored so the honeycomb grows, however if you later remove the honey, the honeycomb remains the same overall size, even when the honey is gone.
There are tools for manipulating AFX files directly but it is usually best to leave the file management to Mailtraq. The tools are available at AFXutilities
Mail Groups Mail Groups and Mailbox Accounting allow administrators to automatically manage mailbox characteristics such as mailbox size, automatic expiry, deleted mail removal, etc. Read more about this topic, here in User Management |
